Adapt it: Give a realistic reply time. Do not promise “in a moment” if you know you will reply in the evening.

Adapt it: Replace the brackets with no more than three details you genuinely need for an estimate.

Adapt it: Ask for an honest review, not “five stars”. Do not offer a discount or gift in exchange for a positive review.

Adapt it: The validity date should match the terms written in the quote itself.

At the end of an exchange, so both sides know what happens next and when.

Hi [Name], thank you for confirming. I’ve noted everything and will [next action] by [time/date]. If anything changes before then, please send me a message here. Kind regards, [Your name]
Adapt it: This works well after a call because it turns verbal arrangements into a concise written summary.

WhatsApp or email?

Choose the channel according to the importance of the issue, the length of the content and what the customer may need as a record.

Keep one issue per message, use short paragraphs, state a realistic time and give one clear next step. Send a formal quote by email and use WhatsApp to confirm delivery.

Email

Use a clear subject line, complete summary, attachments and relevant terms. Important quotes or decisions should not rely on a trail of disconnected chat messages.

What to avoid in customer replies

  • Using machine translation without checking names, dates, prices and meaning.
  • Repeating apologies instead of giving a solution.
  • Writing “I will get back to you soon” without a realistic time.
  • Requesting excessive information before explaining why it is needed.
  • Promising a price or date you cannot yet confirm.
  • Asking only happy customers for a positive or five-star review.
Google allows businesses to remind genuine customers to leave a review and to share a review link or QR code. Reviews must reflect a real experience; incentives for positive reviews are prohibited by Google policy, while UK CMA guidance prohibits fake and concealed incentivised reviews.

Frequently asked questions

How should I start a customer message?

For most everyday situations, “Hi [Name], thank you for your message” is enough. If the conversation is already active, you do not need to restart with a formal greeting every time.

Should I use Kind regards or Best regards?

Both are acceptable. “Kind regards” is a reliable professional closing. On WhatsApp, your name may be enough when the customer already knows who they are speaking to.

How do I follow up after a quote without pressure?

Check that the quote arrived, offer to clarify anything and avoid artificial urgency. “I’m happy to answer questions—there’s no pressure” is a useful closing.

Can I ask a customer for a Google review?

Yes. Ask a genuine customer for an honest review and share the review link. Do not offer a discount or gift for a positive review and do not ask only for five stars.
